Overview

The Federal Business Services On-Site Account Support Specialist is responsible for the coordination of off-site referrals and management of confidential medical records. As well as monitoring scheduled and unscheduled appointments or hospitalizations at community based clinics or hospitals. This position maintains patient confidentiality and documents all actions to assert that compliance standards are maintained.

Qualifications

Education:

  • High School diploma or equivalent

Experience:

  • Computer proficiency with specific skills in MS Word, Excel and Power Point.
  • Knowledge of confidentiality guidelines and Freedom of Information Act.
  • Previous tangible experience with medical terminology, medical symbols, and medical abbreviations a plus.

Licenses/Certifications:

  • Medical credentials/certification helpful but not required to perform duties.

Responsibilities

  • Coordinates and schedules patient off-site medical referrals with the appropriate contracted specialty providers. Accurately and consistently enters all related data into the company patient management platform, including but not limited to initial referral entry, appointment scheduling, bus trips, patient history, and completion status.
  • Process and assemble escorted trip authorizations packets for emergency and special outside medical trips on a weekly basis.
  • Ensure that each escorted trip authorization packet is reviewed by the appropriate Bureau of Prison staff.
  • Track appointments/cancellations and special instructions.
  • Ensures scheduling and medical record management compliance in strict accordance with client contracts.
  • Obtains, reviews, tracks, and documents medical records for off-site referrals ensuring compliance contract-required timelines. Handles all patient data with the strictest levels of confidentiality and in full compliance with HIPAA.
  • Facilitate the weekly Utilization Review Committee to process all medical consultations.
  • Assists general clerical support functions as necessary.
  • An ability to prioritize and meet deadlines is essential within this role.
  • Must be able to excel in high stress situations
  • Must have outstanding interpersonal communication (verbal & written), telecommunication, and data entry skills.
  • Superior organizational skills.
  • Must be able to aggressively utilize strong multi-tasking abilities to coordinate scheduling patient appointments and managing daily appointment calendar.
  • Must be able to obtain and maintain security clearance.
  • Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
  • Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.
  • Must be alert at all times; pay close attention to details.
  • Strong verbal and written communication skills in addition to a demonstrated proficiency in Microsoft Office Suite are required.
  • Perform other duties as assigned.
